How to Print Mailing Labels in Outlook

Need to address a lot of letters? Now you can easily create mailing labels from Contacts list in Outlook 2013! Follow these easy steps:

  1. Go to “Contacts”.
  2. Select the contacts you need mailing labels for. Hold the “Ctrl” key to select contacts individually or hold the “Shift” key and select the first and last contact in the group.
  3. Click “Mail Merge” in your top menu bar.
  4. In the pop-up window, make sure “Only selected contacts” is selected under “Contacts”.
  5. Under “Merge Options” at the bottom, select “Mailing Labels” in the “Document type” drop down and click “OK”.
  6. Microsoft Word will launch with a pop-up that gives you an opportunity to pick your mailing label.
  7. Under “Main document,” click “Setup”.
  8. Select Label vendor option in the drop-down, then select your product, and click “OK” (Avery US Letter- 5160 are common 3×10 labels).
  9. Now click “Close” on the remaining pop-up window.
  10. Click “Address Block” in your top menu bar.
  11. Determine whether or not you want to include company name- uncheck “Insert company name” if necessary.
  12. Click “OK” to insert address block.
  13. Now click “Update Labels” located in your top menu bar to apply the address block to all your labels.
  14. Optional: Select “Preview Results” to see the actual mailing labels with data populated from your selected contacts.
  15. Click “Finish & Merge” and select “Print Documents…” to print to PDF to preview or send to your printer.
